Fall Fun is Here! Is Your Event Properly Insured?

There’s something special about fall in the Gulf Coast—cooler evenings, football gatherings, pumpkin patches, hayrides, bonfires, tailgates, festivals, and neighborhood get-togethers. Fall is a wonderful time to invite friends, family, customers, or the community together for a little fun.

But if you’re the one hosting the event, there’s something else you should have on your checklist: insurance.

Whether you're hosting a small gathering at your home or organizing a larger event for your business, an accident can quickly turn a fun day into a stressful situation. The right insurance coverage can help protect you from the financial consequences of an unexpected injury, property damage, or other liability claim.

Hosting at Your Home? Check Your Homeowners Policy

A casual gathering with friends or family may be covered under your homeowners insurance, but that doesn't mean every type of event or activity is automatically covered.

Things can become more complicated when you have activities such as:

·      Bounce houses or inflatables

·      Trampolines

·      Hayrides

·      Bonfires or fire pits

·      Large gatherings

·      Games or contests

·      Vendors or entertainers

·      Activities involving alcohol

·      Events where you charge admission

Your homeowners policy may have specific exclusions, limitations, or conditions that could affect coverage. Before the invitations go out, it's worth discussing your plans with your insurance agent.

Business Owners: Don't Assume Your Commercial Policy Covers Everything

Fall events can also be a great way for businesses to connect with customers and promote their brand. A pumpkin-carving contest, customer appreciation event, trunk-or-treat, fall festival, or company party can create positive experiences and build relationships.

However, your standard commercial insurance policy may not automatically provide all the coverage you need for a special event.

If you're inviting the public onto your property, adding temporary structures, hiring outside vendors, serving food, or providing entertainment, there may be additional exposures to consider.

Depending on the event, special event insurance or additional liability coverage may be appropriate.

What If Someone Gets Hurt?

Imagine a guest trips over an extension cord, falls on a wet surface, gets injured while participating in an activity, or claims that your event caused damage to their property.

Even when you take reasonable precautions, accidents happen.

General liability insurance can help protect against certain claims involving bodily injury or property damage, subject to the terms and conditions of the policy. For businesses, this coverage can be particularly important when hosting events that bring additional people onto your premises.

Don't Forget About Vendors and Contractors

If you're bringing in a food truck, DJ, entertainer, bounce-house company, photographer, caterer, or other vendor, don't simply assume they have adequate insurance.

Consider asking vendors for a Certificate of Insurance (COI) before the event. Depending on the circumstances, you may also want to discuss whether your business should be named as an additional insured.

Your insurance agent can help you understand what documentation and coverage requirements may be appropriate for your particular event.

A Little Planning Can Protect the Fun

Before hosting your next fall event, take a few minutes to review your insurance coverage. Consider the number of guests, location, activities, vendors, equipment, alcohol, and whether you're charging admission.

The goal isn't to take the fun out of your event. It's the opposite.

Proper planning and insurance can give you greater peace of mind so you can concentrate on what matters—enjoying the people, the memories, and all the fun that fall has to offer.
